Information we collect
If you book a call through Calendly, Calendly collects the contact and scheduling information you submit through its service. If you use the message form, we collect the name, email address, and message you submit. If you contact DealerClaw by email or another channel, we receive the information you choose to send.
AI Incentive Check
If you use the AI Incentive Check, a VIN is sent to CarsXE only to identify its year, make, model, and trim. AI model requests exclude the VIN. The decoded vehicle details and ZIP code are sent through DataForSEO to the selected AI model providers so they can research public manufacturer incentives. DealerClaw may temporarily cache results and uses limited technical request data to prevent abuse. Submit a VIN only when you are authorized to use it.
How we use information
We use submitted information to respond to your request, schedule and provide a call or demo, operate an approved DealerClaw service, provide support, protect the service, and improve DealerClaw.
Managed service information
A DealerClaw pilot or managed service can process dealership information and approved work instructions. The scope, access, systems, retention, and approval rules for that work are set with the dealership before service begins.
Advertising measurement
When you arrive from an OpenAI ad, we may store the ad's attribution reference in a first-party cookie for up to 30 days. If you then successfully submit an inquiry or click our booking link, we send OpenAI the attribution reference, the event type and time, a deduplication identifier, and our page URL to measure results. A booking-link click measures interest. Only a completed booking confirms an appointment. Your name, email address, and message content stay outside this integration. We opt these events out of future user-level personalization and stop this measurement when your browser sends Global Privacy Control or DNT signals.
Sharing
Ocean West Labs LLC never sells submitted contact information. We use service providers for hosting, analytics, email delivery, storage, security, and product operations when needed to run the site and provide an approved service.
Retention and security
We keep information only as long as needed for the request, service, security, business records, or legal requirements. No internet service can guarantee absolute security, but we use practical access and operational controls for the information we manage.
